Advice on uploading MDC files

As mentioned in previous bulletins, we cannot accept member information via email.

Your MDC file must always be sent to us via the Employer Portal. If you’re having problems uploading the file it could be for one of the following reasons;-

• You’ve not entered anything in the description field. This field can only contain letters and numbers, therefore do not use any special characters
• You’re copying and pasting data to the template and have selected too many columns. The templates are protected beyond the last column of data therefore if you attempt to paste more columns that appear on the template you’ll get an error message
• You’ve not entered the header row on your MDC file. This must be in the format of MSRM<LA><ESTAB><MONTH><YEAR>
• You’ve given the file the wrong filename. The filename is generated when you save and validate the template and should not be altered
• You’ve not saved the file in .csv format. This is again generated when the template is validated and should not be altered.

If you’re seeing a red bar error message, solutions are:

• Server error – upload failed – this is due to a connection issue between your machine and the Employer Portal, please wait 30 minutes and attempt to upload the file again
• Duplicate file – this is because we’ve already received your file, if you’ve been asked to resubmit a previous file you can rename the file and change the last digit of the filename as this is formed from the date and time the file was created
• Error reading submitted file – this is due to extra letters or underscores in either the filename or the header row. It could also be due to the entry in the description field

If, after checking all of the above, you’re still unable to send the file to us through the Employer Portal please paste the data into a blank excel spreadsheet and upload it the Employer Portal in .xls format. You’ll receive an email to inform you that the file has not been processed, please forward this email to tpstu@teacherspensions.co.uk (This link opens in a new window), and we’ll download your file so that we can assist you further.
